An OBM (or Online Business Manager) often has a list of clients that are on a retainer with them. This means each month they dedicate a certain amount of time to each business and help them with their operations, project management, and systems setup.

However, things can seem to take FOREVER and a day with retainer packages – this comes from personal experience as well as what I hear is happening in the industry. 

Your clients may want quicker results. So, you identify the top need(s) of your clients and develop a VIP day offer that gets them what they want (systems set up, etc..) in days vs months.

Generally speaking, a one-day offer is priced at at least $1,000 and lasts anywhere from 4-8 hours. You can also have a multi-day offer. These often run $3,000 up to over $8,000, depending on what your offer delivers.

The more value your offer has, the higher it should be priced.

Why is this? Because cell phone companies offer you the benefit of payment plans on your phone. They may even offer “extra” like a subscription to Hulu, Disney, etc… they set up the sim card for you…you are paying more for convenience.
  • Are you a Disney fan? If so, you may have experienced paying for the Fast Pass – it gives you “VIP” status so you can skip in front of the lines and do what you came to do – have fun and ride all the rides!
  • Think of the last time you ordered from Doordash or had your groceries delivered. You likely paid for that service, right? And, you more than likely tipped the driver. These kinds of services offer a “VIP” status, of sorts, where you are paying for the convenience. It saved you valuable time and you received the “result” (ie: product) quickly. And in exchange for the speed, efficiency and results, you paid more.

Before launching your offer, it’s important to get clear on the client’s needs, objectives and desired outcome. This will ensure that you are able to provide them with the expertise, advice and support they need in order for them to reach their goals.

Provide an Agenda

Providing an agenda for your time together will help keep clients focused and ensure that they are able to reach their desired outcome in the most efficient way possible. It’s important to plan out each day, taking into account time for consultations, break periods and any other activities or experiences you wish to provide your clients with during the experience.

Make it Fun

Make the experience fun, engaging and educational. This can be accomplished by adding interactive activities such as workshops, Q&A sessions or virtual tours. It’s also a best practice to send your client a gift card for lunch, coffee, etc… especially if your offer involves them heavily in the process (ie: you are building their strategy together over a day or two).

Let’s talk tech. There are several factors to consider when setting up your offer. For the most efficient VIP day offers, these items would be set up prior to onboarding your first client. 

However, you could always do a “beta” offer where you offer a lower price point for the client to help you work out kinks in the process. This would ideally be done with a well-trusted client who is already familiar with your brand.

My favorite scheduling system for VIP Days is Book Like a Boss. You can set up the VIP day package and allow VIP clients to book their VIP day easily. You can even integrate with Zoom for video conferencing.

Payment Processing:

Having a reliable payment processor is key to properly handling VIP day payments. I recommend Stripe for quick, secure payments.

Client Intake Form:

Depending on the offer you create, a client intake form helps gather pertinent information and streamline the process. I use a simple Google Form or FormCan to gather this data.

Online Meeting Room:

I generally either use Zoom or Google Meet for video conferencing. They are both easy to use and have various options such as screen sharing and whiteboards that can be used for more interactive VIP day experiences.

Voxer or Slack:

Voxer and Slack will help you keep in contact with VIP day clients quickly and easily throughout the VIP day process. While not required, I often use one of these two methods to stay in contact with VIP day clients.

Email Platform:

Having an email platform you can use to communicate with clients is a must. I use MailerLite for my email communication but an alternative like ConvertKit would work just as well.

Lastly, you’ll want to ensure you document your process in a SOP (standard operating procedure) so you can pass it off to your team and/or make the next set up even more quick + efficient.
